Position Summary/Accountabilities: Responsible for providing technical and administrative support to Energy Delivery Engineering Departments. Job Functions: Concurrently provides administrative and technical support to two or more engineering departments in multiple areas. Assembles, reviews, distributes, and files documentation for engineering projects. Prepares periodic reports and special analytical reports as requested. Prepares charts and graphs. Provides local computer training and support to other less experienced users. Prepares project authorizations, work orders, requisitions, retirement forms, letters and memos. Maintains contract files and logs and tracks approvals. Assists in preparation of budgets and performs calculations for budgets. Performs research for budget variance reports. Enters requests for quotes and material requisitions for direct ordered material on projects designed by engineering staff. Assists with preparation of project design packages as requested. Maintains inventory records of specialty spare parts and equipment. Processes payments against purchase orders and maintains associated records. Processes material requests and follows up with Sourcing/Supply Chain to ensure timely delivery. Identifies, reconciles and maintains department records, such as travel records, credit card accounts and project files. Reviews and enters time sheets and posts respective employee information such as sick leave and vacation records. Reconciles company cash working funds. Enters security access requests, move requests, and computer hardware & software requests for department personnel. Answers and places internal and external telephone calls, asking and answering questions on various subjects. Gives and takes messages as requested. Handles routine information requests. Administration of office functions, such as mail distribution, maintaining of office equipment, ordering office supplies. May be required to maintain department safety and technical training records. Coordinates business trip accommodations for department personnel. Provides department web site development and maintenance. Five years technical or professional experience.
