Position Purpose:
Plan, organize and implement activities related to managing the life cycle of Corporate records. Will work to further develop and promote the records management program across the company. The goal is to ensure preservation of corporate records and reduce risk. Emphasis will be put on managing the corporate record systems, educating and training record coordinators, drafting records management information guides and training material, processing legal holds and coordinating annual record management compliance programs.
* Training record coordinators on the duties and responsibilities of a record coordinator and the process and procedures that should be followed to ensure departmental compliance with corporate record keeping policies. Includes training on procedures for offsite storage of records and training on the records management’s offsite storage software. * Manage the Company’s Versatile software including implementing software upgrades, oversee test site and ensure testing protocols are completed before production site is running. Includes creating report templates, coordinating training, troubleshooting database errors and acting as in house help desk person. Conduct quality control reviews of database. * Create training material and presentations. * Write and maintain record coordinator instruction manual. * Administer the annual Record Coordinator Compliance Certification process; documenting results, analyzing information and reporting on observable weaknesses. * Project manager for annual clean-up week compliance, includes coordinating communications and marketing and working with IT, security and facility services to ensure successful measurable campaign. * Manage the yearly record destruction compliance process, including reporting, monitoring and documenting final results. Includes obtaining management destruction certifications and vendor certifications. * Oversee the Company’s legal hold process as it relates to Corporate Records. * Overhaul and maintain department website acting as editor to ensure key information is readily available to its intended audience. * Write and produce quarterly newsletter. * Manage auditing process of all vendor accounts and the company’s internal records system. * Draft department procedures for areas of accountability. * Conduct record surveys as needed. * Assist in planning and implementing yearly Records and Information Management Seminar.
Basic Requirements:
Bachelor’s Degree (OR) At least 5 years in Records & Information Management At least 3 years experience in Records & Information Management
Additional Requirements:
