Primarily responsible for providing accurate product/service costing, ensuring that optimal commercial terms are included in different types of proposals & supporting the sales team in formulating market pricing, the role also requires proposals co-ordination duties, ensuring that requests and bid documents are delivered to meet internal and external deadlines. Essential Responsibilities ITO (Inquiry to Order/ Tendering): . Lead a small team of commercial operations coordinators . Review sales enquiries execute all sales enquiries . Ensure bid / proposal tracking and risk tool processes are instigated and maintained . Manage an effective document control system ensuring material relating to the customer is properly registered, circulated, controlled and easily accessible to the commercial team . Schedule, participate and where appropriate lead kick-off meetings and commercial risk reviews . Distribute documents as appropriate and co-ordinate responses within agreed schedule . Issue clarifications to customers and distribute responses . Build cost models to cover all elements of service proposals . Ensure effective communication throughout proposal team and that the commercial manager is aware of any clarifications, qualifications and exceptions . Assist with pricing strategy working with Pricing Leader and Sales . Oversee timely production, compilation & issuance of proposals to company standards . Provide support to sales and where necessary participate in negotiations . Perform contract review and issue customer order acknowledgement . When applicable, ensure service contracts are recorded in the Commercial Contracts Database . Prepare and conduct rigorous PO handover from ITO to OTR process teams . Provide accurate and timely reporting as required by customer and commercial team . Perform other duties as required to support commercial & operations teams in Global Services . To serve as the primary interface between the company and customer on all Service business matters . To be responsible for the effective management and delivery of equipment and services as defined by Customer's acknowledged order in line with our quotation / tender submission
OTR (Order to Remittance / Execution) . Execute on all orders which have been converted from quotes / tenders submitted and existing contracts . Track and execute orders sitting with Team ensuring tracking of on time delivery and recording associated metrics in line with KPI's . Track and monitor CM- quote vs execution . Report in a timely and accurate manner all order bookings . Drive performance OTD improvement both in team and cross functional support . Jointly run ITO Bid Review and OTR Ops meetings . Participate and lead Comm-ops Customer meetings - ITO and OTR . Produce project deliverables to in a safe manner, to specification and quality requirements, on schedule and within budget . Ensure company processes, QA, EHS and risk management functions are followed - be responsible for managing the execution of Key Jobs in the region - Lead Hand-Off for project execution phase (ITO-OTR) - Take responsibility and work with cross functional teams (planners, sourcing, engineers, manufacturing, test and assembly) and ensuring they are able to meet the obligations of the contract (OTD) - Lead & be accountable for negotiating the change orders during execution of the contracts - Drive profitability of projects with specific cost-out actions by interacting closely with fulfillment, engineering and sourcing representatives - Achieve financial and operational targets committed for the assigned Area/Region (Revenues, CM, Cash) - Participate actively in simplification of project management processes across the region . Initiate necessary corrective actions as and when required. Get customer feedback on project execution. . Responsible for negotiations with customers for variation order during project execution phase . Run in conjunction with Planners weekly Ops Meeting and be responsible together with other ITO team leaders for the weekly Bid Review Meeting . Track and measure ITO and OTR OTD in business metrics and drive business improvement in CM growth and OTD improvements. Qualifications/Requirements . Bachelor's degree from an accredited university or relevant business experience . 5+ years in a similar role in the upstream services segment of the Oil & Gas industry . Team management experience in fast-paced environment . Familiarity with commercial models on rental tools, including cost models and pricing strategies . Basic understanding of manufacturing systems and active site operations . Strong communicator, able to successfully manage multiple priorities for demanding internal and external stakeholders . Excellent computing skills, particularly Microsoft Office, with Oracle knowledge an advantage Desired Characteristics . Experience with contract management and contractual terms . Knowledge of the VetcoGray product range . Regional experience in a similar role . Certified 6 Sigma Green Belt (GE employees only) . Familiarity with approaches to product maintenance (e.g. FMECA)
